SWIFT-Prospector Hold Cancellation Notices
Send Hold Cancellation Notices
In order to notify patrons of Prospector requests that cannot be filled, and have been canceled, you have the option of sending Hold Cancellation notices from the RSB server.
Within the RSB client, select Notices from the menu on the left.
Select the Hold Cancellation Notices job from the grid and click Prepare.
From the Select Form Printer menu, choose either Local Printer, or Send to email address. This tells the system what to do with any notices queued for patrons that do not have an email address in their record (which may be zero) – all other notices will be sent to the email address in the patron record. If you select Local Printer, you will be prompted to select the printer to send to. If you select Send to email address, you will be prompted to enter an email address to “print” to. Once you’ve made your selection, click Print.
The system will display any notices that are queued up to be sent for your patron records:
Click Send Notices.
Click OK to send all notices.
The system will report how many notices were sent, and ask if you want to clear all email notices. Click Yes. Once notices are emailed and cleared, canceled requests will be removed from the records.
Note: Bounce notifications will be sent to the configured library email address.
Details of sent email notices can be viewed by clicking on the Emails(#) tab.
Sample Hold Cancellation Notice:
Print Notices
After the notices that can be emailed to the patrons are sent, if there are any notices for patron records with no email addresses, they will display in the grid.
To send and clear, click Send Notices.
Click OK
Notices will either be sent to the library’s default email address or to the printer, depending on whether you previously selected Send to email or Local Printer, and you will be asked if you want to Clear all print notices. Be aware that once the notices are cleared, they will not be available for re-printing later. We advise that you confirm that all notices were successfully printed or emailed before clicking Yes to clear.
